Wix + PracticeQ Enrollment, Payment & Email Automation

I am looking for an experienced technical freelancer to help me complete and troubleshoot the full registration, payment, forms, and email automation workflow for an online mental-health education program.

I am not looking for a website redesign or simply someone to add a payment button. I need someone who understands integrations and automated workflows and can take ownership of getting the entire enrollment process working smoothly.

What I Need the Customer Experience to Be

A customer should be able to:

Visit my Wix website.

Click a Register/Purchase button for a class.

Complete payment through PracticeQ Payments.

After successful payment, automatically receive an email with a link to complete the required PracticeQ forms.

If the forms are not completed, receive appropriate reminder email(s).

Once the required forms are completed, automatically receive the next-step email containing:

confirmation of enrollment,

class bonus materials/resources,

Zoom link and class information.

If someone has already completed the required forms, the system should recognize that when possible and move them to the appropriate confirmation/bonus/class-access step rather than continuing to send paperwork reminders.

What I Need the Freelancer to Do

I need someone to look at the entire workflow, determine what can be accomplished within Wix and PracticeQ, identify where another automation tool may be necessary, and build the simplest reliable solution.

The project includes:

Review my existing Wix and PracticeQ setup.

Determine the cleanest way to connect the Wix registration/purchase button to PracticeQ.

Review and troubleshoot the PracticeQ Payments/merchant account setup.

Verify that the payment workflow is functioning correctly.

Create the appropriate post-payment email trigger.

Automate delivery of the required PracticeQ forms.

Create reminder automation for customers who have paid but have not completed their forms.

Create the trigger/workflow that recognizes completed paperwork and sends the appropriate confirmation email, bonus materials, and Zoom/class information.

Prevent customers from receiving inappropriate or duplicate reminder emails after forms are completed.

Determine whether PracticeQ can handle all of this natively or whether another integration/automation platform is needed.

Test the entire customer journey from purchase through class access.

Test on desktop and mobile.

Document the finished workflow so I understand how it works and can make basic changes later.

Important

Because this involves a mental-health education program and client information, I do not want improvised workarounds that unnecessarily expose personal or health-related information to third-party systems.

If an additional automation platform is needed, I need the freelancer to explain:

why it is necessary,

what information will pass through it,

any privacy/security implications,

and any additional monthly cost

before adding it to the system.

Ideal Experience

Please apply if you have experience with:

Wix

PracticeQ / IntakeQ or similar healthcare/client-management platforms

Payment integrations

Email and workflow automation

Conditional automation (for example: paid + forms incomplete vs. paid + forms complete)

Webhooks, APIs, Zapier/Make or similar integration tools when appropriate

Troubleshooting workflows that span multiple platforms

Healthcare or mental-health practice technology experience is a significant plus.

How would you approach determining which parts of this workflow can be handled directly by PracticeQ versus requiring another integration?

Are you comfortable coordinating with PracticeQ technical support if part of the issue is on their side?

This is initially a small integration and automation project, not an ongoing website-development position.

The goal is not simply to make the individual pieces work. I need someone who can make the entire customer enrollment experience work reliably from beginning to end.
